Stock and fulfilment

Transfer stock and receive it in stages

Dispatch between warehouses, track goods in transit and record partial receipts without adding stock twice.

Dispatch between warehouses, track goods in transit and record partial receipts without adding stock twice.

Prepare the transfer#

Choose different active source and destination warehouses, then select items and whole-unit quantities. A draft records intent and does not reserve or move stock. Check actual availability again before dispatch.

Staff need explicit team operational access; owners and administrators control warehouse and item configuration. The active workspace remains the boundary for both locations.

Confirm that goods have left#

Dispatch only when the physical goods leave the source. The system checks all lines under one workspace lock and removes unreserved stock from the source. If any line is unavailable, the whole dispatch fails.

The transfer freezes the dispatched quantities, original item/location details and allocated carrying value. In-transit goods cannot be sold from the destination. Dispatched transfers cannot be cancelled as if the goods never moved.

Record each actual receipt#

Open the dispatched transfer and enter only the units physically received for each line. Partial receipts leave the remainder in transit; the final receipt marks the transfer received. Received quantities cannot exceed dispatched quantities.

Each receipt carries its exact share of the dispatched value. Resubmitting the same receipt request returns the original result instead of adding stock again. A fresh receipt must represent a new physical delivery.

  1. Match the arriving goods to the transfer reference.
  2. Count each line and enter the quantities actually received.
  3. Submit once and review the destination stock and remaining in-transit quantities.
  4. For later arrivals, create another receipt for the remaining units.

Handle discrepancies with evidence#

A draft can be cancelled before dispatch. If dispatched goods are lost, damaged or never arrive, retain the transfer evidence and ask an administrator to reconcile the discrepancy; this release does not silently write off in-transit stock.

Receive a verified arrival before making a documented destination adjustment, where appropriate. To send goods back, create a new reverse transfer reflecting the physical movement. Do not invent a receipt or edit immutable history to make counts agree.

A transfer is not a sale#

Moving stock between warehouses in the same workspace preserves its total carrying value. Transfer movements do not create customer invoices, payments, revenue, tax or cost-of-goods-sold entries.

Transfers across legal businesses, cross-workspace stock ownership, customs processing and intercompany invoicing require a separately designed workflow. A warehouse country field alone does not implement those processes.

Keep the active workspace, actual business requirements and current setup summary in view. A guide explains a choice; it does not make that choice for you.
